Loom Campaign Setup

Here is the step by step guide to setting up Loom Campaigns for our clients. Watch video walkthrough here:

VPN

IMPORTANT: We must always use a VPN with a specified IP address when sending email campaigns for deliverability & account longevity.

  • Use NordVPN with these credentials: 
    • amanda@rushdigitalmarketing.com
    • GreenLamp55**
  • Each client has their own individual IP address. You can find it in the CMS in the Deliverability tab.
  • Activate the IP address before doing any activity on this client’s Gmail, LinkedIn, FB, or IG accounts. (But especially Gmail.)
  • Check IP health once per month. 

The Client's Loom Recording

  1. Send The Loom Recording Instructions to the client.

  1. While Client works on that, we can create the Loom Email copy.

Preparing Targeted Email List

  1. On Saturdays, gather 1-week's worth of email addresses & other info.
  2. Add this to the client's Loom Tracking Sheet. (found in client's folder.)
  3. Pre-record all Looms too and add the link to the tracking sheet.

Creating Gmail Accounts

  1. Create 1-3 new Gmail accounts for the client. 
    1. The number of accounts will depend on how many booked calls the client wants. In theory, 1 account will equal 1 booked call per day.
    2. This allows us to do appt. setting without access to the client's personal email address.
    3. For right now, we are going to create cold email accounts only. We will see if this is enough, or if clients need access to a warm account.
  2. We will send 30 emails total per day per account: 10 looms + 20 follow-ups
  3. Add profile picture to the account.
  4. Add a simple signature like this:

  5. Turn on Templates & Insert the client's Loom Campaign Copy into templates. 
  6. Create Labels: 
    1. Cold Looms > Main, FUP1, FUP2, FUP3
  7. Nexus only - Create Labels: 
    1. Appt. Setting > Lead, Booked, Not Interested
  8. Nexus Lite only - Set up email forwarding to client’s main account so that all responses can get forwarded to the client for responding. (We’ll need the client to help us verify this.) And mark Gmail’s copy as Read.

Tracking Setup

  1. Create or Edit Hubspot Property
    1. RDM Tracking > Loom Lead
  2. Create Zap called Loom Leads -> Hubspot [Client name]
  3. Trigger: Gmail > New Labeled Email > Connect the client's Cold Gmail Account > RDM Looms/Lead
    1. NOTE: Will need 2 triggers for 2 Gmail accounts.
  4. Action: Hubspot > Create Contact > Link client's Hubspot Account > Add Name, Email, Loom Lead.
  5. Now anytime we move an email to the "Lead" label, they will be added to hubspot as a Loom
